& Cancellation Policy

for Group Bookings, Events + School Holiday Programs**

Delivering safe, fun and high-quality care is our top priority — especially when we’re caring for multiple children at once. This policy keeps all little legends safe, protects our Sit Legends, and ensures your group or event can run smoothly.

Sick Child Policy (Group & Event Care)

Because one sick kid can quickly become twelve… and no one wants a gastro domino effect.

We’re unable to provide care to any child who has experienced the following within the past 24 hours:

  • Fever 38°C or higher

  • Vomiting or diarrhoea

  • Contagious conditions (hand-foot-mouth, conjunctivitis, RSV, influenza, COVID, gastro, strep, whooping cough, etc.)

  • A rash of unknown cause

  • Persistent, severe cough

  • Difficulty breathing or wheezing

  • Symptoms requiring isolation as advised by a doctor

  • Any condition that prevents them from comfortably participating in group activities

Why this policy is stricter for groups & events:

  • Ratios must be safe and compliant

  • Illness spreads rapidly in multi-family settings

  • Sit Legends must be able to support all children safely without intensive one-on-one care

  • Other families are relying on our service and have paid for their spot

  • For events and school holiday programs, staffing is scheduled months in advance

If a child arrives unwell:

Our Sit Legends may decline care at check-in.
Refunds are not available for unwell children sent home on the day.

If a child becomes unwell during care:

Parents/guardians (or event contacts) will be contacted immediately.
Children who become ill will be separated safely until they can be collected.

Cancellation Policy (Group, Event & School Holiday Programs)

These bookings require advanced staffing, planning, materials and locked-in ratios. For fairness and safety, the following applies:

📌 7+ Days Before the Booking

  • Full refund or credit available

  • Numbers may be adjusted

  • New families can be added if space allows

📌 3–7 Days Before

  • Booking fees and deposits are non-refundable

  • You may reduce child numbers by up to 20%

  • Additional children may be added depending on ratios and staffing

  • No rescheduling available for events or holiday programs

📌 Less Than 72 Hours Before

  • No reductions or refunds for child numbers

  • Final headcount is locked

  • Fees remain payable in full

  • Staffing costs have already been committed

📌 Same Day / No-Show / Sick Child on Arrival

  • No refunds for children who are unwell or unable to attend

  • For group bookings: the full agreed fee remains payable

  • For events & school holiday programs: individual refunds are not offered (to maintain ratios and staffing)

Weather & Venue Changes (Events & Outdoor Programs)

  • If extreme weather requires a venue shift, we will work with you to adjust

  • If the event is cancelled due to weather within 72 hours, standard cancellation fees apply

  • For school holiday programs, alternative indoor activities will be run whenever possible

Transferring Spots (School Holidays Only)

You may transfer your child’s spot to another family 7+ days before the program.
Within 7 days, transfers may be accepted only if ratios allow and must be approved by our team.

Why This Policy Exists

We know cancellations happen… but these bookings require:

  • Multi-staff scheduling

  • Pre-purchased materials, activities and equipment

  • Venue hire allocations

  • Confirmed ratios for legal compliance

  • Travel time and preparation for our Sit Legends

  • Reserved spots that cannot be offered to other families at the last minute

This policy helps keep programs running smoothly, keeps everyone safe, and protects our staff’s time, income and wellbeing.
